Business Manager

Job Description

The Business Manager reports to the CEO, is classified as Exempt/Salaried employee, working s on-site  in Braintree, MA.

Job Responsibilities

Accounts Payable
• Oversees A/P system: accurately posts bills and ensures internal controls are followed and bills are paid on a timely basis
• Oversees Credit card system: Administer and reconcile credit card expenses monthly
• Work closely with staff in other departments to ensure proper account coding and backup documentation supports all vendor bills and credit card expenses and verify vendor payments
• Ensure all fees are adhering to their agreements with proper backup (ie invoice templates and contracts) and their paperwork is complete including state and federal tax compliance
• Oversees A/R for all three entities: RMS invoicing to clients; Execute all inter company invoices; Physical check writing for all 3 PrepMD entities
• Manage the Month End/Quarter End/Year End close for three entities
• On a quarterly basis provide EBITDA projections for each division
• Provide analysis of P&L across divisions in order to guide strategic business decisions
• Participate in forecasting exercises to project growth and sales across business units

Payroll/HRIS
• Manage and process payroll biweekly for all 3 business units
• Understand and take a lead role on utilizing our Rippling HRIS platform
• Track PTO/FMLA accruals and deductions for all 3 business units
• Ensure all insurance deductions are accurate
• Review all insurance related invoices monthly for accuracy
• Adjust employee salaries and deductions when necessary
• Keep organization charts organized for all 3 units
• Ensure proper collection of tax documents from employees when necessary
• Research and set up new state registration, when applicable
• Troubleshoots payroll issues, questions, and changes for both current and former employees and serves as primary liaison to Rippling payroll software

Tax
• Annually submits forms 1099-NEC for all relevant contractors according to IRS requirements
• Annually submits forms 1042-S for all relevant foreign entity artists according to IRS requirements
• Ensures timely payment of state and federal withholding tax for relevant artist fees
• Sends relevant information to payroll company when necessary to ensure state and federal payroll tax compliance

Facilities and Office administration
• Helps CEO and Division leaders research new tech solutions and systems to improve workplace efficiencies
• Primary liaison to building management: submits maintenance requests, schedules deliveries and furniture moves, and schedules appointments for access cards
• Administer phone system, corresponding with IT company and phone consultant when needed to facilitate day-to-day operation
• Collaborate with CEO and Division leaders to assist with Company wide processes and documentation, including registrations and licenses, such as MA Department of Public licenses, Staffing, etc.

The HR Generalist facilitates employment matters across a wide range of HR functional areas including employee relations, leaves of absence, onboarding, training, and policy compliance.

Job Responsibilities and Accountabilities

  • Ensures HR actions are processed timely and accurately (i.e., new-hire, transfers, promotions, and terminations)

CRM Device Applications Trainer/Manager

This individual will report directly to the PrepMD Training Director and assist with practical application workshops and classroom instruction including CIED interrogation and remote monitoring training, student mentoring and coaching, and academic administrative support.

Responsibilities may include but not are not limited to:

  • assisting in development, set up and conduct of hands-on workshops

Minimum Qualifications:

EP Applications Trainer/Manager

PrepMD is seeking a full-time electrophysiology trainer on site in Braintree, MA to develop and deliver EP curriculum while collaborating with PrepMD Faculty. The EP Trainer will perform duties related to the design, development, and delivery of electrophysiology. This includes student training, corporate training, and online learning programs/solutions. Furthermore, this individual will oversee and perform workshops, simulation training, as well as staff education on EP/CRM topics throughout the calendar year.

Minimum Qualifications:

  • Bachelor’s Degree from accredited college or university or credit equivalent preferred
  • Minimum of 2+ years of experience in a clinical EP setting
  • Knowledge of diagnostic EP studies, 3D electro anatomical mapping and ablation procedures
